Covers acceptable use, prohibited behavior, account responsibility, and
liability limits.

Should include a checkbox: “I agree to the Terms of Use” with a link to the
full document.

2. Privacy Policy

Explains how user data is collected, stored, and shared.

Required for compliance with laws like GDPR, CCPA, etc.

3. Usage Disclaimer

Example: “OTD Solutions provides access to vendor and dealership data for
operational use only. Misuse may result in account suspension.”

4. Optional: Code of Conduct or Vendor Guidelines

Especially useful since vendors are interacting with dealerships directly.

Can include expectations around communication, professionalism, and dispute
resolution.

5. Audit Trail Confirmation
Log the timestamp, IP address, and user ID when the agreement is accepted.
